The translation services project is connected to the Larimer County Strategic Plan: Goal 3, Objective 3: “By the end of 2022, adapt the service delivery method of at least one service in each of the service categories to respond to demographic trends and measure the effectiveness of the adaptations through direct polling of customers. By the end of 2023, improve the convenience of service delivery scores reported in the polling by at least 2% for each of the services”.

To pilot this translation services project, Human Resources negotiated with ASTA-USA to provide Spanish translation services of documents for Larimer County. The types of documents that are generally translated are in Word, PDF, or InDesign formats, though there may be other formats available. ASTA-USA will translate documents at $0.08 per word (for non-rush turn-around), and there is a minimum charge of $65.00. The initial project budget offers translation services up to a total of $40,000*. After this funding has been used, Departments will need to fund translation services at their own expense.

Document Translation Process:

  • A department representative should collect a batch of documents that have been identified for translation - it is best to send a batch as this ensures the County is getting the most for its money as ASTA-USA does have a $65 minimum charge for translation. (It should be noted that a formatting charge is also assessed when they complete translation of documents that are more complexly formatted- such as a brochure.)
    • It is recommended that the department representative should do a total word count of all the documents identified for translation and calculate a general estimate of what the translation should cost, so that this can be checked against the quote ASTA-USA provides.
  1. The Department Representative will email the documents to Tyler Longmire (ASTA-USA Account Manager)
  2. Tyler will return a quote for services. The cost of translation is $0.08 per word ($65 minimum charge for translation, additional charge for formatting with format complex documents)
  3. The department representative will review the quote to verify the total cost of services in reference to the number of words being translated- if the quote is correct, the department representative will notify ASTA-USA to begin translation.
  • The Department Representative may have the translated documents reviewed for translation accuracy (though ASTA-USA translations have been verified to be of high-quality):
    • They may either ask an employee in their department with Spanish proficiency to review the documents.
    • Or they may ask HR to coordinate with another County employee with Spanish proficiency who is part of the Second Language Compensation Program to review the documents.
  • The Department Representative should ask Tyler Longmire to have the invoice directed to them so that it can receive internal approval and be paid from the department’s budget.
