NAME CHANGE AND/OR MARITAL STATUS CHANGE

When an employee has a name change, they MUST first change their name with the Social Security Administration so that their earnings continue to be accurately reported. 

 

Once the change has been made with the SSA, employees can enter their name change information directly into UKG.

  • Go to the "Myself" menu tab, under "Personal," click "Name, Address, and Telephone."
  • Click on the "edit" icon.
  • Complete the "Last" and "Former last" name fields, and change "Marital status" if desired. 
  • Remember to click the "save" icon when finished.

The action will go into a workflow to await approval.  Human Resources runs a report that verifies names and SSN's with the Social Security Administration.  (Note: There is no need to upload a copy of the new Social Security card.)  Once this validation is complete, the workflow action will be approved. 

 

Human Resources and IT will then work together to process the name change:

  • A JIRA ticket is opened and IT builds a new email address and login
  • Once HR receives the new email address, they rebuild the username and roles, and update the Nectar database
  • The employee must be onsite for some of the network access to be updated.

Once these steps are complete, the employee will need to re-register for UKG with the new email address and create a new password and security Q&A.

ADDRESS, PHONE,  AND/OR EMAIL CHANGE

Employees can enter their own address, phone number, and alternate email changes directly into UKG.

  • Go to the "Myself" menu tab, under "Personal," click "Name, Address, and Telephone."
  • Click on the "edit" icon.
  • Update the address fields as necessary.
  • DO NOT change the Primary e-mail field as this is linked to your system sign-on (you must contact Judy Shimkus if this needs to be changed)
  • You may update the Alternate e-mail field if desired.
  • Update your Primary Personal Phone if necessary.
  • Remember to click the "save" icon when finished.
